This Privacy Policy explains how Ark Academy, LLC (“Ark Academy,” “we,” “us,” or “our”) collects, uses, and protects information when you use the Ark Academy platform (“Platform”). By using the Platform, you agree to the practices described in this Policy.

1. Information We Collect

We collect information in the following categories:

  • Account information: name, email address, phone number, and company information provided at registration.
  • Financial planning data: income figures, tax information, cash flow data, net worth estimates, and other financial data you enter into our planning tools.
  • Uploaded documents: files you submit to the Document Vault, including tax returns, legal agreements, insurance policies, and other personal records.
  • Platform usage data: playbook progress, quiz results, task completions, session attendance, and feature interactions.
  • Device and log data: IP address, browser type, operating system, referring URLs, and error logs collected automatically when you use the Platform.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Platform and its features
  • Authenticate your account and enforce access controls
  • Personalize your experience and track your progress through the program
  • Enable your assigned coach or advisor to support your financial planning work
  • Process payments and manage your subscription through our payment processor (Square)
  • Send transactional emails, account notices, and program communications
  • Generate AI-assisted summaries and classifications of documents you upload
  • Detect fraud, enforce our Terms of Service, and protect platform security
  • Comply with legal obligations

3. Information Sharing

We do not sell your personal information. We may share your information in the following limited circumstances:

  • Your coach or advisor: your assigned Ark Academy coach can view your progress, playbook completions, and session notes within the Platform.
  • External advisors you invite: if you grant access to a CPA, attorney, or other external advisor, they receive read-only access scoped to the permissions you select.
  • Service providers: infrastructure and software vendors who assist in operating the Platform, including Supabase (database), Vercel (hosting), Resend (email delivery), and Square (payment processing). Each is bound by confidentiality obligations.
  • AI processing: documents and structured content you submit for AI-assisted features are processed via the Anthropic Claude API. Data is used solely to generate your requested outputs and is not retained for model training.
  • Legal requirements: we may disclose information if required by applicable law, court order, or to protect the rights, property, or safety of Ark Academy, our users, or others.

4. Cookies and Tracking

We use cookies and similar technologies to operate the Platform. Specifically:

  • Session cookies: required for authentication. These are set by Supabase and are necessary for the Platform to function. They expire when you sign out or your session times out.
  • Preference cookies: we may store lightweight preferences (such as UI state) in localStorage or cookies. These do not contain sensitive data.
  • No third-party advertising cookies: we do not use advertising networks, behavioral tracking pixels, or cross-site tracking cookies.

You can control cookies through your browser settings, but disabling session cookies will prevent you from signing in to the Platform.

5. Data Security

We implement appropriate technical and organizational measures to protect your personal data, including:

  • TLS encryption in transit for all Platform communications
  • Encryption at rest for database records
  • Row-level security (RLS) policies enforcing per-user and per-tenant data isolation
  • Role-based access controls for coach, admin, and external advisor roles

No method of transmission over the internet is 100% secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security.

6. Data Retention

We retain your personal information for the duration of your account relationship and for a reasonable period thereafter for legal, regulatory, compliance, and business continuity purposes. We do not automatically delete client data upon account cancellation. If required by applicable law, we will process verifiable deletion requests, subject to any overriding legal obligation to retain certain records.

7. Your Rights

You have the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you.
  • Correction: request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your account. Certain data may be retained as described in Section 6 for legal, regulatory, or compliance purposes.
  • Portability: request a machine-readable export of your data.
  • Objection: object to certain processing activities, including direct marketing.

8. Children's Privacy

The Platform is intended for users who are at least 18 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice on the Platform or sending an email to the address associated with your account. Your continued use of the Platform after changes become effective constitutes acceptance of the revised Policy.
